Cancellation Policy
At Kiama & Coast Speech Pathology, appointment times are reserved exclusively for you. When an appointment is cancelled with little or no notice, that time cannot be offered to another client who may need it. This policy explains what we ask of you, and what to expect, when a cancellation or rescheduling is needed.
Notice Required
We ask for at least 2 business days' notice to cancel or reschedule an appointment. Business days are Monday to Friday, excluding public holidays.
This applies to all appointments, regardless of how they are funded (Medicare, DVA, NDIS, private health insurance, aged care packages, or private payment).
Cancellation and Non-Attendance Fees
Where less than 2 business days' notice is given, or a client does not attend a scheduled appointment without notice, the full session fee of $193.99 will be charged.
- Cancellations made 2 or more business days in advance: no fee.
- Cancellations made with less than 2 business days' notice: full session fee ($193.99).
- Non-attendance without any notice (“no-show”): full session fee ($193.99).
This fee is payable directly by the client and is not claimable through Medicare, DVA, or private health insurance.
In the instance of a late cancellation or non-attendance, we will aim to fill the designated time with meaningful non-face to face work, relevant to your therapy goals. This may be through the creation of a home program, correspondence with a carer or another allied health professional, resource development etc.
NDIS Clients
For clients whose sessions are funded under the NDIS, cancellations are treated in line with the NDIS Pricing Arrangements and Price Limits for short-notice cancellations. Where a claim for a short-notice cancellation is not available or appropriate under those arrangements, the fee above applies to the participant directly.

Wherever possible, we will offer to reschedule your appointment to a more suitable time at no additional cost.
Exceptional Circumstances
We understand that genuine emergencies, sudden illness, and circumstances beyond your control do arise. Cancellation fees may be waived at the practice's discretion in these situations, but please get in touch to discuss.
Late Arrivals
If you arrive late, your appointment may be shortened so that the following client is not affected, and the full session fee will still apply.
Practitioner-Initiated Cancellations
If Kiama and Coast Speech Pathology needs to cancel or reschedule an appointment (for example, due to illness or an emergency), we will notify you as soon as possible and no fee will apply. We will work with you to find the next available appointment.
